School privacy and pilot terms
Last updated: October 20, 2026
This page is for program directors, instructors and IT staff reviewing DMEReady for an A&P class. It sums up what we collect from students, what an instructor sees, how long we keep it, and how a free pilot works and ends. The Privacy Policy is the full text students agree to; this page does not change it. It is not legal advice.
At a glance
- Students choose. Nothing is shared with an instructor until a student joins a class and agrees on the consent screen in the app. Students can leave a class at any time.
- DMEReady does not retain session audio. Audio is processed during the session to transcribe spoken answers; we keep the answer text and the report.
- No connection to school systems. DMEReady does not connect to your student information system or learning system, and we don't receive records from your school.
- Practice feedback, not grades. This is practice feedback, not an assessment. The AI examiner can misjudge an answer. Do not use the results for grades, graduation or test sign-off.
- We don't sell student information, and we don't share it with the FAA, an employer, or anyone else at the school.
What we collect
From students:
- their email address, to sign in and keep track of their account;
- their practice sessions: the questions asked, the text of their spoken answers, their results and reports;
- if they choose to enter them: their display name (a first name is enough), oral exam date, the ACS codes on their Airman Knowledge Test Report (AKTR), and items they add to their study list;
- product usage analytics and on-screen interaction logs (clicks, scrolling and taps; called "visit recordings" in the Privacy Policy). Text typed into forms is hidden; spoken-answer transcripts, names and emails are masked; no audio is ever recorded.
From instructors: the name and email address on the instructor account, class names, assignments, and any "agree" or "disagree" marks and notes on students' results.
What an instructor sees
When a student joins your class and agrees, you can see:
- their display name and email address, and their oral exam date if they enter one;
- their practice sessions and reports (the same reports they see, including the text of their answers) from the day they join; earlier practice only if they tick a separate, optional box;
- their progress by section and topic, and the questions marked "to review".
Instructors cannot see a student's study list and cannot change reports. An instructor can mark a result "agree" or "disagree" with a short note; the student sees the note, and the AI result is not changed. You can download a CSV practice summary of your class (not grades); downloaded summaries are separate copies, so handle them under your school's student-data policy. Instructors get a weekly email with class totals only, no student names or answers.
We record each time an instructor opens a student's practice. The student's account page shows when their instructor last opened it, and the student can ask us for the full record.
How long we keep it
| Information | How long |
|---|---|
| Session audio | Not stored. It is carried live during the session only. |
| Answer text, results and reports | While the student's account is open, unless the student asks us to delete them. |
| PDF copies of reports | Up to 2 days on our server, then deleted. |
| An instructor's access to a student | Ends immediately when the student leaves the class, including access to past reports. Leaving cannot recall copies an instructor has already downloaded. |
| Class records (the class, its member list, assignments, and instructor marks and notes) | Until the school asks us to delete them. We delete them within 30 days of the request. |
Deleting a class does not delete students' accounts or reports; students can request deletion of their own data at any time. We may keep limited information longer where reasonably necessary for security, fraud prevention, legal obligations, accounting, or resolving disputes.
Security
- Students and instructors sign in with a one-time email link or with Google. We don't store passwords.
- Connections to the website and the app are encrypted (HTTPS), and live session audio is carried over encrypted WebRTC.
- Class information can only be reached through our server, which checks that the instructor belongs to the class before returning anything.
- To report a security concern, email hello@dmeready.com. A person reads every message, usually within one business day.
Who helps us run the service
LiveKit (live audio), Deepgram (speech to text; we have opted out of its program that uses customer audio to improve its models), Cartesia (the examiner's voice), Anthropic (Claude: choosing follow-up questions and generating reports), Supabase (accounts, transcripts and results), Stripe (payments), Resend (email), Telegram (our team's service alerts and "Ask us" notifications; practice reports and spoken-answer transcripts are not sent there), Cloudflare Turnstile (telling real visitors apart from automated traffic), PostHog (product usage analytics and on-screen interaction logs, with typed text hidden and transcripts, names and emails masked), and Render and Vercel (hosting). These providers may process data in the United States or other countries. Details are in the Privacy Policy.
Student-data agreements (FERPA)
We do not yet offer a standard school data agreement. Students sign up in their own name and choose to share; we receive no rosters, grades or education records from your school. If your institution requires a DPA or a FERPA "school official" agreement, send it with your request; we review it with you before any student joins, and student participation does not start until your school has approved.
How a pilot works
- One class of up to 30 students, usually for 4–6 weeks. We agree the class size and dates with your school before students start.
- It is free for your school: the instructor view, and practice access for the students who join the pilot class, until the pilot end date that students see when they join.
- There is nothing to install and no IT or learning-system setup. Students need a phone or computer with a web browser, internet access and microphone permission. Headphones and a quiet spot help.
- Practice is spoken: there is no typed-answer mode. If a student can't practice out loud, tell us before the pilot and we'll talk it through with you.
- Students practice on their own time. There is nothing for instructors to grade.
- Your instructor account includes 180 days of practice access (the sample class plus your own practice). The student pilot is a separate 4–6-week window; its end date does not by itself remove your class view. Students can leave your class at any time, which ends that access.
- At the end we review the class view with you: how many students practiced, which topics they covered and which they kept missing, whether the class view helped you, and what your students still need.
When the pilot ends
- Students' free access ends on the pilot end date. Their accounts, reports and practice history stay. A student who wants to keep practicing can buy a pass.
- No one is charged automatically, and nothing is charged to your school without its agreement. If you'd like to continue, we agree group pricing with you first.
- The instructor keeps the class view. Students can still leave the class at any time, which ends the instructor's access immediately. If your school wants the class removed, ask us and we delete it within 30 days.
